Finance and Sub Grant Coordinator

Job Location: Kathmandu

The Finance and Sub-grant Coordinator role provides technical support to the Finance and Administration unit. He/she is responsible for financial management of Partner Organization management, timely update of expenses in financial software. This position is expected to use initiatives to resolve work issues independently and to resolve problems and deviations in accordance with established practices. This position is under the direct supervision of the Finance and Administration Manager.

Detailed duties and responsibilities for the position

Strengthening financial management system

  • Maintain and enter accurate and complete records of financial transactions in Ipas ERP system/Workday.
  • Maintain financial vouchers and enter in workday and backup documents, and safe storage of cheque books and banking documents.
  •  Close coordination with the finance and administration team in the preparation of the organization’s annual budget, monthly financial reports, and project donor reports as relevant.
  • Prepare monthly bank reconciliation statements and reconcile account balances.
  • Assist the team to prepare salary sheets, salary deposit, tax calculation and timely calculation and deposit of the organization and staff tax liabilities.
  • Support the efficient running of Ipas Nepal financial team and assist to strengthen the internal control and finance & administration management system, as necessary.

Sub grant agreement and budget planning

  • Prepare sub-award budget and agreement ensuring organizational compliance.
  •  Support in amendments of contracts of partners as and when needed.
  • Work closely with partner organizations’ finance staff/teams on project financial reporting.
  • Capacity building of the partner organization’s financial systems and financial reporting through regular monitoring and orientation.
  • Will perform other duties as assigned by the organization.

Monitoring and reporting

  • Monitor the accuracy and alignment of partner organizations’ approved budget and expenditure.
  • Conduct due diligence assessment and periodic monitoring visits to Ipas Nepal’s partners.
  •  Prepare donor reporting of various donors as per requirement.
  • Willingness to travel to the field, with nearly 30% of the time in the field.

Compliance

  •  Timely deposit of tax and staff retirement fund to related organizations.
  • Payments and financial dealings to be made in compliance with the donor rules and regulations.
  • Support the organization and management of internal and statutory audits.

PSEA compliance

  • As an Ipas Nepal employee read, understand, and sign the acknowledgement to comply with all aspects of the PSEA as defined by the PSEA policy.
  •  Contribute to safe working environment where every team member is treated equally and respectfully.
  •  Ensure Ipas representatives (including consultants, interns, volunteers, independent contractors, suppliers/vendors, board members, sub-awardees) and government officials directly working with Ipas and its partners understand and practice the prevention of sexual exploitation and abuse policy while in partnership and implement program with Ipas.
    Understand and comply with the organization policies and ethics
  • Understand and comply with the Human Resources, Procurement, Travel, Finance Policy, and other policies of the organization.
  • Commitment and adherence to the Ipas code of business ethics and conduct and safeguarding policy.
  • Ensure Ipas representatives (including consultants, interns, volunteers, independent contractors, suppliers/vendors, board members, sub-awardees) and government officials directly working with Ipas and its partners understand and practice the prevention of sexual exploitation and abuse policy while in partnership and implement program with Ipas.
  • Contribute to safe working environment where every team member is treated equally and respectfully.

  •  Ensure all work activities comply with the organization rules and regulations
  • Ensure proper documentation of memo’s, decisions, reports and any official documents for record keeping hardcopy/OneDrive/Luna as appropriate

Qualification and skill requirements:

  •  CA or ACCA or Master’s degree in business administration, or business studies or management with specialization in finance or accounting with at least 3 years of professional experiences in similar areas or Bachelor degree with 5 years of similar experiences
  • Professional experience in finance, administration, and auditing.
  •  Experience of audit and sub award management(PNGO) is preferred.
  •  With excellent knowledge of accounting principles, procedures, and taxation.
  • Excellent in using various computer applications such as word, excel, accounting software, ERP system.
  • Must be detail-oriented, well-organized, efficient, and able to meet deadlines.
  •  Ability to work successfully in a cross-cultural, team-based, global environment
  • Flexible to adapt to challenging work environment.
  • Has strong written and spoken communications skills in English and Nepali
