Project Officer, Project Based Consultancy Contract

Role Purpose:
To support the project team in the implementation of a project in compliance with British Council policies and procedures including financial, administration, reporting and data collection, operational project delivery and managing relations with delivery partners.

Main accountabilities, not limited to the following:

1. Managing self and others

  • Holds vendors and suppliers to account for service delivery
  • Able to work independently and manage workload in line with the project deadlines

2. Financial Support

  • Plans and draft reports on project financial plans and budget expenditure and forecasting for Senior Project Manager and Admin & Finance Manager
  • Manages budgets
  • Maintains clear and up-to-date records on all financial transactions as per audit requirements
  • Ensures relationships with vendors are maintained and payments are processed on time and in accordance with the donor’s British Council’s guidelines
  • Manages events-based components and trainings within the project ensuring compliance with the British Council financial policies and procedures.

3. Project Management Support and Administration

  • Responsible for data management, including timely data entry, quality assurance of data, undertaking basic analysis of monitoring data and developing progress reports in line with donor requirements
  • Supports internal compliance, such as due diligence, records management, data collection and storage based on the Result and Evidence Based Framework
  • Manages project administration, selection and evaluation, and procurement processes.
  • Collects and records supporting receipts and documentation to validate transactions
  • Follows up on timesheets from the consultants and other project staff and keep records of such timesheets
  • Assists with preparation of internal and external narrative and financial reports
  • Supports Senior Project Manager and Finance and Administration Manager in other administrative, financial and project management tasks as required
  • Maintains quality of delivery and adheres to Safeguarding, Equal Opportunity, Environmental Framework Tool (EFT), and Equality, Diversity and Inclusion (EDI) policies

4. Relationship and Stakeholder Management

  • Manages relationship with clients /stakeholders at appropriate level
  • Manages relationship with vendors and suppliers and holds them accountable for delivering services

Role specific knowledge and experience:
You should bring along:

  • Legal right to work in Nepal
  • English at CEFR B1/B2 level
  • Bachelor’s Degree in relevant fields, Bachelor’s Degree in Education is desired
  • Experience of working in a supporting role on programmes or projects.
  • Administrative and financial administration experience.
  • Good understanding of basic concepts of monitoring and evaluation.
  • Experience of working in school education sector project is an advantage
  • Good understanding of financial administration
  • Experience in event planning and logistics management

Additional role requirements:
The staff on this role may be required to travel domestically or internationally at certain occasions depending upon the business need in a year. The organisation ensures staff safety during the travel and provides good and safe trave land accommodation arrangements. The traveling requirements are decided or communicated well before time to the staff, so they can manage their travel accordingly. Our travel and accommodation policies are robust and developed to facilitate employees during their work, out of station.
The staff may also be required to work out of hours, in the evenings or in the weekends occasionally. However, staff is facilitated for their working weekends in the other days of the week through an agreement with their line managers. There are policies in place to compensate staff working extra hours or on weekends/holidays.
