Job Summary:

As the Office Coordinator, you will be responsible for maintaining the smooth operation of the office and providing administrative support to various departments. Your role will involve greeting visitors, managing calls and emails, scheduling appointments, coordinating office supplies, and assisting in the preparation of documents and reports. Additionally, you will play a vital role in maintaining a clean and organized office environment.

To excel in this role, you should have excellent communication skills, be proficient in Microsoft Office Suite, and possess strong organizational abilities. Attention to detail, multitasking, and prioritization are essential for success in this position. We are looking for a proactive and self-motivated individual with a friendly and professional demeanor.

Responsibilities:

  • Coordinate and manage daily administrative tasks to ensure efficient office operations.
  • Greet and assist visitors, providing them with a positive and professional first impression of the organization.
  • Manage incoming calls and emails, directing inquiries to the appropriate departments or individuals.
  • Coordinate and schedule appointments, meetings, and conferences.
  • Maintain office supplies inventory and place orders as needed.
  • Handle incoming and outgoing mail, packages, and deliveries.
  • Ensure the office premises are clean, organized, and well-maintained.
  • Assist in the preparation of reports, presentations, and other documents.
  • Support HR activities, such as maintaining employee records, processing paperwork, and assisting with onboarding processes.
  • Ensure compliance with company policies and procedures, and maintain confidentiality of sensitive information.
  • Collaborate with colleagues to ensure efficient workflow and effective communication.
  • Perform other administrative tasks as assigned.

Requirements:

  • Bachelor’s degree in Management or equivalent.
  • Proven experience of more than 2 years in an office coordination or administrative role.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent communication and interpersonal skills.
  • Strong organizational and time management abilities.
  • Attention to detail and accuracy in completing tasks.
  • Ability to multitask and prioritize workload effectively.
  • Proactive and self-motivated with a problem-solving attitude.
  • Professional and friendly demeanor.
