Field Sponsorship Operations Coordinator – (230001UV)

The objective of the position is to facilitate efficient sponsorship operations at the field level. Develop systems and tools to ensure effective quality management of Sponsorship operations in partner NGOs in compliance with Sponsorship Policy and Procedures. Manage the mass Sponsorship campaigns; electronic data management system and overall data integration between the partners and ASISt (Sponsorship information system) in close coordination with CO Sponsorship Operations

Key Responsibilities:

Planning and Monitoring:

  • Monitor partner’s performance on sponsorship operations management to ensure compliance of sponsorship policy and procedures.
  • Develop plan, forms and formats for the annual campaigns in coordination with CO Sponsorship Information Management Coordinator.
  • Develop Child Enrollment plan in coordination with partners.
  • Support in phase-out and phase-in process of Impact areas.
  • Support in partner’s planning process.

Manage and build capacity in Sponsorship Operations management:

  • Strengthen partners’ capacity to maintain quality standards in Sponsorship operation management.
  • Provide technical assistance for the smooth functioning of Sponsorship operations in the partners’ organizations.
  • Conduct training and orientation to partners on updated Sponsorship policies and procedures
  • Prepare and disseminate monthly partners’ performance rating reports.

Communication and Coordination:

  • Maintain close coordination with CO Sponsorship Operations team for regular updates.
  • Coordinate with Sponsorship partner organisations concerning policies and services with mid-level counterparts and board members within the partner organisations.
  • Regular communication with SC district offices for problem solving the issues related to sponsorship operations.
  • Conduct Sponsorship interaction meetings among the Sponsorship partners.
  • Maintain close coordination with program team for coordination of Sponsorship operations and programs.

Manage mass Sponsorship Campaigns:

  • Prepare partner staff for electronic data collection for e-AFU and New Application in collaboration with Sponsorship Information Management Coordinator
  • Coordinate with the program team for the integration of program activities during the AFU and Mid-Year Eligibility Check.
  • Manage to receive adequate child inventories with quality child information from partners’ to meet the annual Child Enrolment plan.

Data Integration:

  • Quality verification of data received from partners to maintain the data integration with ASISt.
  • Work collaboratively with Sponsorship Information Management & Data Quality Coordinator to ensure data quality.
  • Maintain confidentiality of information of enrolled children and sponsors.

Others:

  • Coordination with the program thematic team to share ideas and experiences for better benefits to children
  • Organize Joint visit with cross thematic team
  • As a focal person for sponsorship operation, respond the operation-related issues on time.
  • Manage time for emergency response as when required as assigned by the line manager

Qualifications and experience:

  • Masters’ degree in relevant field

Essential:

  • Experience on working with Partner NGOs or relevant field for at least 3 years (2 years for GSI Group).
  • Excellent interaction and facilitation skills.
  • Problem-solving skills.
  • A flexible, initiative-taking and innovation-seeking attitude

Desirable:

  • Experience on working in Sponsorship Operations Management
  • Experience on working in a collaborative setting.
  • Ability and willingness to change work practices and hours during major Sponsorship campaigns.
