Key Responsibilities:

  • The Sponsorship Correspondence Specialist will coordinate all correspondences related to Child Sponsorship and Community Sponsorship that will enable WVI Nepal to maintain timely and quality communications with sponsors and supporters in compliance with WV global standards and key performance indicators.
  • This position requires to effectively engage WVI Nepal sponsors by creating a compelling, integrated and coherent story that includes both authentic child expression and inspiring proof of change describing the needs, progress and improvements in children’s well-being through Correspondences in each WVI Nepal Area Programs (AP). This position should facilitate strong community and partner engagement and ownership of child sponsorship correspondences processes in the field by supporting WVI Nepal Field Offices (FOs) and APs develop sponsorship activities that promote children’s participation and well-being, and to mitigate potential problems traditionally associated with sponsorship practices.
  • This position also requires to support each FO and APs to link correspondence activities with children’s participation, life skills and voice (Children’s expression, advocacy and influence).
  • The work achieved because of this role is key to World Vision’s sponsor retention and acquisition efforts globally, by providing Correspondences that supports the optimum experience a sponsor has with the organization. It is through the correspondences processed by the team, that sponsors have an opportunity to start and grow a relationship with a sponsored child and their community.
  • The position reports to WVI Nepal Sponsorship Manager enabling him/her to lead and achieve the goals and objectives of the maintaining Child Sponsorship Correspondence management effectively in alignment with WV global standards and requirements (both digital and paper based).
  • This role expects to have strong facilitating and persuasion skills for strategic leadership in the areas of capability building of WVI Nepal and its stakeholders’ including Partner NGOs knowledge and understanding of World Vision’s Sponsorship and management of Sponsorship Excellence.
  • This position is also required to lead, coach, supervise and monitor the work of Sponsorship Communications: Correspondence Management Coordinators, Sponsorship Correspondence Assistant and short term staffs mobilized at the NO, FO and APs for all kinds of Correspondence requirements. The incumbent is expected to take initiatives in creating simple, innovative and efficient measures to undertake the given business processes. Such initiatives are consulted and defined in considerations to sponsorship teams, National Office departments and Partner NGOs perspectives.
  • Sponsorship Correspondence Specialist will be responsible for all Area Programmes in WVI Nepal’s Sponsorship funded programme operating districts and any new additional APs that will start up under WVI Nepal Field Office(s).

MAJOR RESPONSIBILITIES

  • Coordinate operations of all Child Sponsorship Business processes in terms of Sponsorship Correspondences for the Field Offices, Urban Programming and its relevant Area Programmes (APs)
  • Coordinate the management of all Digital correspondences related to Child Sponsorship to enable WVI Nepal to maintain timely and quality communications with sponsors/supporters in compliance with WV global standards and key performance indicators
  • Ensure queries related to Sponsor Correspondences are responded to and followed up by relevant FO/APs in a timely manner. Ensure queries and feedback loops are documented and closed appropriately
  • Ensure Sponsorship Operations Indicator (SOI) reports for all APs are green and plan follow up action in case of variance and discrepancies.
  • Ensure that all business processes and operational activities related to Child Sponsorship Digital and paper-based correspondences are in compliance with WV’s global standards
  • Ensure quality in each digital correspondence, quality upload of scanned correspondences one by one into Horizon by the field offices, timely dispatch of Hard copies correspondences to SO’s for further dispatch to Sponsors/SOs
  • Ensure that GC Quality assurance report and other standard reports are generated from Sponsorship systems and are shared timely and regularly to FOs/APs to ensure appropriate action and follow up is conducted by them.
  • Find areas of innovations, simplicity and efficient measures to manage business processes effectively.
  • Provide technical support and facilitate on capacity building of WVI Nepal’s NO, Field, partner NGOs’ staff and short terms staffs to implement SO/RO/GC new initiatives in the APs including SBTIIforDP relevant components.
  • Provide technical support and facilitate capacity building of Partner NGOs’ staff and short term staffs to maintain the quality and timeliness of all Child Sponsorship Digital and paper based correspondences
  • Provide technical support and facilitate on capacity building of WVI Nepal’s field, partner NGOs’ staff and short terms staffs to implement SO/RO/GC new initiatives in the APs.
    Provide capacity building and technical support to Sponsorship Field Coordinators to ensure quality, integrity, security and consistency of Sponsorship Correspondences at the district level
  • Provide capacity building and technical support to FOs which supports partner NGOs to ensure that their performance meet minimum organizational and global standards.
  • Conduct regular visits to targeted APs / FOs to ensure consistent processes and enable direct support when necessary
  • Identify Sponsorship Business Correspondences related issues provide problem solving or trouble shooting support to districts, or coordinate support with Global center (GC) when Sponsorship Business correspondences related issues need to be escalated
  • Liaise with GC to identify and describe sponsor/ SOs motivations and interest in a way that helps APs to capture correspondences that meet Sponsor/ SO’s expectations
  • Liaise with GC and NO stakeholders to identify key messages to communicate to sponsors, including (i) key challenges facing children, and (ii) key programme achievements that demonstrate change in children’s lives
  • Liaise with GC and NO Stakeholders to identify modalities to work with children, families and community to help them understand the importance of collecting authentic, heart-warming and inspiring stories through their correspondences
  • Support Sponsorship Manager to identify Sponsorship activities where Correspondences processing can be aligned to best capture children’s participation and impact through WV’s programmes.
  • Identify, assess and communicate risks associated with maintenance and management of Correspondences for WVI Nepal. Coordinate mitigation measures together with NO Stakeholders, Regional office RO and GC.
  • Ensure that all processes associated with WVI Nepal’s Child Sponsorship Correspondence Management are in compliance with organizational standards and policies
  • Contribute to strategic organizational process including annual planning, budgeting and reporting processes, and audit processes
  • Continuously assess the efficiency, effectiveness and quality of WVI Nepal’s Child Sponsorship Correspondence Business related processes. Share learning and critical feedback with NO stakeholders , Regional Office and Global Center stakeholders to initiate processes for improvement
  • Perform other organizational and business processes that are required to contribute to WVI Nepal’s strategic objectives and to maintain a healthy organizational life
  • Increasing demonstration and understanding of and commitment to World Vision’s Core Values in the approach to work and relationships

Required Professional Experience

  • Minimum of 4-year experience in similar or equivalent positions in development sector or sponsorship-focused organization
  • Experience in preparing and facilitating training workshops
  • Experience working in a rural or remote district of Nepal
  • Child engagement techniques, Critical thinking skills and Communication and facilitation skills, including communicating with children and adults with respect and dignity
  • Understanding of poverty issues, development theories and sustainable development practices including empowerment approach through community-led activities and advocacy

Required Education, training, license, registration and certification

  • Bachelor’s Degree in Social Science/Development Studies/ Sociology/ International Relation or any relevant field
  • Strong people management skills including performance management and capacity building skills (facilitation, mentoring and coaching skills)
  • Good analytical skills; ability to critically analyze data, identify diverging and converging trends, and recommend improvement
  • Good interpersonal skills and cross-cultural sensitivity. Strong collaboration and partnership skills to mobilize engagement and influence.
  • Computer and Technology literacy; Strong computer skills including Word, Excel, PowerPoint; Strong experience in using technology including information management database software and platforms
  • User experience with WV’s data management, information platforms such as Horizon SSUI and Horizon Mobile Application

Preferred Knowledge and Qualifications

  • Master’s Degree in Social Science/ Development Studies/ Sociology/ International Relation or any relevant field
  • Knowledge of World Vision’s Technical Programmes and organizational policies and standards, including Child Sponsorship standards and Sponsorship Integration
  • World Vision’s experience in development programmes

Travel and/or Work Environment

  • Will be required to spend at least 60% of work time traveling to target districts to provide technical support, capacity building and monitoring of Correspondence acquirement
  • Willingness to work outside office hours especially when conducting monitoring/field visits
