Position Summary

To ensure the smooth operation by providing proper service to guests and performing the front desk activities being the face of organization.

Major Roles And Responsibilities (Job Details)

Key Responsibility Area (KRA):
Responsibilities include, but are not limited to the following:

  • Managing Schedules and appointments of the Directors as suggested
  • Update calendars and schedule meetings
  • Assist Directors and other seniors in hierarchy with administrative duties
  • Manage the building log of guests who is entering and exiting the building
  • Greet all incoming guests and notify the proper employees of their arrival
  • Answer, screen and forward incoming phone calls
  • Maintaining the present file structure and filing documents in the appropriate location on a regular basis
  • Maintaining attendance register and leaves of the staffs
  • Receive, sort and distribute daily mail/deliveries
  • Arrange for meetings, conference calls, interviews, etc. with lightings, video and audios tools, air and ventilations, food and beverage, etc.
  • Arrange travel-bookings, flight tickets, local transport or office vehicles as required or requested by employees
  • Ensure reception area is tidy and presentable, with all necessary stationery and material
  • Provide basic and accurate information in-person and via phone/email
  • Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing as requested
  • Perform other general and administrative duties as required

Report: Daily, Weekly & Monthly
Qualification: Bachelor’s degree in related field
Experience: Minimum 2 years of experience in the related field

Required Competencies:

  • Proven work experience as a Receptionist, secretary or Administrative Assistant
  • High degree of multi-tasking and time management capability
  • Excellent written and verbal communication skills
  • Proficiency in MS Office
