Logistics Officer – USAID Integrated Nutrition
Location: Kathmandu
Background:
USAID Integrated Nutrition’s primary goal is to improve the nutrition status of women, adolescents, and children in Nepal’s underserved and marginalized communities. The activity will tackle direct and underlying determinants of malnutrition in Nepal while strengthening the national and local enabling environment to implement multisectoral nutrition programs through four synergistic intermediate results. Achievement of the purpose will be measured by improvements in indicators of nutrition status among women of reproductive age, adolescents, and children.
Functional Relationships:
The Logistics Officer will be a key logistics management member of the Helen Keller Intl. USAID Integrated Nutrition at Kathmandu Office and will be responsible for efficient implementation of program objectives and activities by ensuring sound management and optimal performance in all areas of logistic and operations in compliance with Helen Keller Intl and donor policies. S/he will work in close coordination with the Senior Manager – Contract and Grants and Province Lead /and Operation, and other colleagues at Helen Keller’s Nepal Country to ensure achievement of all logistics management and performance objectives in accordance with the Helen Keller Intl. USAID Integrated Nutrition program objectives.
This position is responsible for day to day logistic and administration management as well as logistic support to Kathmandu as well as Province Office Team members when needed to run the smooth operations of , logistic and administrative process of respective province office. S/he is responsible for ensuring Helen Keller Intl’s best practices are upheld, including adherence to the code of conduct, policies and procedures, and financial accountability.
As gender and social inclusion (GESI) is a cross-cutting and core component for HKI programs, all personnel are required to ensure GESI sensitivity and integration where they work.
Major Duties & Responsibilities
Logistics Management
- Arranges USAID Integrated Nutrition staff and visitor’s travel arrangements and hotel reservation for staff and visitors during program visit; and other logistical support for workshop, training, and conference at Kathmandu.
- Coordinate with HKI center Operation for USAID INA project vehicles, property, and medical insurance.
- Coordinate and provide logistic and secretarial support to USAID Integrated Nutrition Kathmandu and Province Office under the direction of Sr. Manager – Contract and Grants .
- Manage records of all inventories for both expendable and non-expendable items and ensure that all inventories are in proper location, coded and appropriately marked. And prepare an annual inventory report for donor submission.
- Update office inventory regularly and carry out physical verification periodically including Province Office in coordinate with Coordinator- Finance & Operations
- Manage a fleet (project vehicles) for Kathmandu and coordinate with Province offices to ensure proper allocation and daily availability of vehicles; establish tools for vehicle follow-up: logbooks, technical check-ups etc.
- Ensure project motorbikes are assigned to staff appropriately, ensure staff follow the HKI proper custodian policy and timely and regular checkup and maintenance.
- Accomplish other assignments as delegated by the Supervisor.
Job Specifications
- Bachelor’s in management with 2 years’ experience or +2 with 4 years’ including experience of Administration & logistic managements.
- Familiar with logistics & administrative management and internal control system
- Good communications, coordination, and facilitation skills with knowledge on Logistic and Admin
- Ability to work well with others and to develop and maintain positive working relationships.
- Excellent computer skills (including Microsoft Word & Excel, Power point)
- Good communication skills both in English and Nepali
- Ability and willingness to work in a team and to work under pressure and in remote/difficult circumstances.
