The objective of the position is to manage the Automated Sponsorship Information System (ASISt) and database processes to enhance the Sponsorship recording, monitoring and reporting system to a high-quality standard with accuracy and timeliness. S/he will also develop and refresh the systems and database tools to bring effectiveness to sponsorship operations and analyse Sponsorship information. S/he will lead the electronic data collection and management for new enrolment drives and Annual Family Update (AFU), and train Sponsorship staff in partner organizations in electronic data management system. S/he will be responsible for quality assurance of all the child data information and troubleshooting technical issues in coordination with the global ASISt Support team.

In the event of a major humanitarian emergency, the role holder will be expected to work outside the normal role profile and be able to vary working hours accordingly.

Key Responsibilities:

Management of Overall Sponsorship Information System:

  • Manage the Automated Sponsorship Information System (ASISt) and database processes including the input of data.
  • Ensure the Sponsorship information is secure at all levels in compliance with SCI data protection policy
  • Develop and refresh various database tools to bring effectiveness in Sponsorship
  • Manage the data exchange procedures and ensure subsequent processes within the given timeline.
  • Coordinate with SCI global ASISt support team and Country Office IT to troubleshoot the problems related to databases

Lead Data Collection and Update Campaigns:

  • Set system for electronic data collection in enrolment drives and Annual Family Updates (AFU)
  • Train partner staff of data collection and reporting ensuring the quality check at partners level.
  • Lead the data management team to complete the AFU campaign on time.
  • Plan and supervise contractual staff during the data update campaigns.
  • Ensure partners are well trained on photography to meet the Sponsorship photo standards.
  • Ensure 100% data and photos collected are updated in the CO system within the timeline.

Quality Assurance:

  • Set system to ensure 100% quality assurance of child information submission in new application and annual update.
  • Work within the team on tracking and escalating any system issues that might interfere with quality data collection and timely submission.
  • Conduct and manage the quality review of all child information and photos for children
  • Use system for compliance check of Annual Family Update (AFU) data and close the data entry campaign on time.
  • Work with Sponsorship Manager on ways to increase efficiencies for quality data collection and submission.
  • Ensure information input in ASISt is as per the compliance.

Data Analysis and Reporting:

  • Analyse data on child information, correspondence etc to produce reports so as to monitor and report on the functions of the entire sponsorship management system 
  • Prepare data for monthly management reports.
  • Analyse the Annual Family Update data and share within the country office for analytical purpose.
  • Prepare various routine mail-merge letters and mailings to sponsors.

Qualifications and experience:

  • Master’s degree in any discipline (information management is preferred)

Essential

  • At least 3 years ( 2 years for GSI group) of working in information management system.
  • Proficiency in MS Access and MS Excel
  • Proven attention for detail and ability to effectively manage a high volume of data and information.
  • Excellent verbal/written communication skills in order to deal tactfully and sensitively with wide range of people, very often at distance.
  • A flexible, initiative-taking and innovation seeking attitude

Desirable

  • Knowledge in SQL server and network based data management.
  • Experienced on working in collaborative setting.
  • Ability and willingness to change work practices and hours
