iDE has been working in Nepal since 1992. From irrigation and good quality seeds to, more recently, rural collection centers where farmers can sell their produce, we provide simple innovations that help rural communities get out of poverty and adapt to climate change.

iDE is recruiting an Administrative & Finance Assistant for multiple projects for its Nepal Regional Office in Nepalgunj, Banke.

Job Summary:

Under the overall supervision of Grants & Compliance Lead & direct supervision of the admin & finance Officer, the Administrative and Finance Assistant will work & liaise closely with iDE Operations, Finance & Compliance team with regard to the full implementation of standard iDE Nepal policies and procedures in the fields of procurement, logistic, administration and Finance. S/He needs to support regional Finance & Admin Officer for day-to-day book keeping, office administration, procurement, and logistics activities with under Nepaljung office.

Major duties and responsibilities:

Administration:

  •  Assist Admin and Finance team for efficient and effective general
    administration management.
  • Ensure well-established and maintained documentation filing systems for
    office correspondence and admin and log related official documents.
  • Coordinate and maintain stock of stationery and office supplies at the iDE regional office Nepaljung.
  • Support to program staff during program activities delivery at regional & district level as & when required.
  •  Assist the Finance & admin officer for hotel booking & Fleet Management which includes vehicle request management, repair and maintenance, Insurance, renewal etc. for district & regional level.
  • Assist the Sr. Admin & HR Officer for the Asset and Inventory Management and its record keeping.
  • Collect the procurement plan from the program and make necessary
    arrangements for the procurement of goods and services as per the
    procurement plan under the guidance of the admin & procurement unit.
  • Assist the Finance & admin officer to maintain up-to-date procurement files
    based on PR/PO numbers
  •  Focal person for collection and reporting of staff time sheet, leave record to central office in monthly basis related with regional office Nepaljung

Financial:

  • Assist program team to ensure all required documents and Code before
    submit finance for the settlement
  •  Collecting & reviewing of VAT invoices & submit to country office for VAT refund purpose
  •  Oversee the timely payment of recurring expenses (supplies, utilities, communications, etc.)
  • Manage petty cash as per iDE Nepal petty cash policy
  • Ensure timely payment of taxes and its reporting to the IRD and the Country Office.
  • Ensure compliance with donor and iDE Nepal regulations has been dully followed
  • Ensure that all relevant business transactions are transparent
    and in compliance with iDE Nepal & donor policies and full set of supporting documents are maintained/collected before making payment
  • Preparation of journal voucher in FAMAS system as per assigned project

Requirements

Knowledge & Experience:

Work Experience

  • Graduate with at least 3 years of professional experience in administration & finance department specifically in an International NGO
  • In-depth understanding of bookkeeping, Logistic management & administrative management
  •  Hands-on experience in development sectors and familiar with various donors’ rules and regulation
  •  Strong analytical skills. Detail-oriented and able to work and interpret figures and other financial information
  • High priority will be given to the local candidate

  •  Capable of working under pressure in a fast-paced environment.
